How many cars or shuttles do you need for a Muskoka wedding?
Start with the guest count and the vehicle capacity: an Executive Sprinter seats up to 12, a Stretch SUV Limousine up to 14, a party bus up to 14, and coaches of 20 to 56 seats are available on request. Divide your guests by the capacity, add a loop plan so vehicles can run twice, and keep one spare for the unexpected.
The question "how many limos do we need for the wedding?" has a simple structure and a long tail of exceptions. The simple structure is arithmetic: people divided by seats. The exceptions are Muskoka's: the ceremony may be on a boat, the reception on an island, the guests in four different towns and the only road in a narrow one.
MuskokaLimousineServices.com moves wedding parties between Muskoka venues, hotels, airports and cottages, and this guide is the checklist we would give a couple on day one. It follows the timeline, then the vehicle maths, then the Muskoka-specific problems: rain, docks and the Friday traffic on Highway 11.
What is the planning timeline?
These are planning suggestions, not rules, and they assume a summer or fall wedding in peak season.
- As soon as the date and venue are set: note which towns your guests will stay in. The key spread is usually Gravenhurst, Bracebridge and Huntsville, and the venue may be in a fourth.
- Six to nine months out: ask about transportation. Peak dates fill, and the fleet classes that matter for a wedding, such as stretch and party vehicles and the Mercedes-Maybach, have availability confirmed at booking, and a Rolls-Royce is on request through the reservations desk.
- Three months out: decide the vehicle plan from your draft guest list.
- Six to eight weeks out: lock the guest count by lodging location. Work out how many people are travelling from the hotel to the ceremony and how many are self-driving.
- Two weeks out: write the run sheet with pickup times, addresses and contacts.
- The week of: confirm the weather plan, and send the final addresses, with fire numbers for any private property, in the booking note.
Peak dates, including long weekends and big weddings, may carry a different cancellation deadline than ordinary dates. It is printed on the confirmation, so read it as soon as it arrives.
How do you work out the guest-to-vehicle maths?
Capacity is the easy part. The vehicle classes are fixed:
- Executive Sprinter (Mercedes-Benz Sprinter): up to 12 passengers
- Stretch SUV Limousine: up to 14 passengers
- Party Bus: up to 14 passengers
- Stretch Limousine: up to 8 passengers
- Business SUV or Executive First Class SUV: up to 6 passengers
- Jet Sprinter Executive: up to 7 passengers
- Mercedes-Maybach: up to 2 passengers (a Rolls-Royce is on request through the reservations desk)
- Coaches: 20 to 56 seats on request
Stretch limousines take minimal luggage, the Stretch SUV Limousine up to 4 large bags and the party bus 2 large bags, which is fine for a ceremony shuttle. If guests are arriving from the airport with suitcases, use a Sprinter (12 bags) or an SUV (6 bags).
Here are worked examples, each assuming a single run from a hotel to the venue.
| Guests to move at once | Reasonable plan | Note |
|---|---|---|
| 6 to 12 | One Executive Sprinter, or one Business SUV for six | A bridal party and family |
| 14 | One Stretch SUV Limousine, or one Executive Sprinter | The Stretch SUV carries up to 4 large bags |
| 24 | Two Executive Sprinters | Easy to schedule as a single loop |
| 36 | Three Executive Sprinters, or one coach | A coach has one pickup point; Sprinters are more flexible |
| 48 to 56 | One coach of up to 56 seats, or four to five Sprinters | A coach is on request |
| 60 or more | Two coaches, or a loop plan with several Sprinters | Loop plans need a loading and unloading schedule |
Add a spare when guests are mixed in age or mobility, or when a delay would mean a missed ceremony. One extra Sprinter is sound insurance compared with 12 guests standing on a road.
The loop plan
You do not always need seats for everyone at once. If the hotel is 15 km from the venue, which is about the Gravenhurst to Bracebridge distance, a Sprinter can drop guests and return for the next group. The test is the schedule: the loop time is the trip each way plus loading and unloading, and the last group must arrive before the ceremony. Build the loop on paper with realistic times and then add a generous buffer, because guests are never ready at the time they promised.
Do the bridal party need a separate car?
Usually yes, but the car does not need to be large. Two people in a Mercedes-Maybach is the classic image: it carries up to 2 passengers and 2 large bags, with availability confirmed at booking, and a Rolls-Royce is on request through the reservations desk, availability confirmed in writing. A Mercedes E / S-Class carries up to 2 and 2 large bags. For a bridal party of six, a Business SUV or Executive First Class SUV carries 6 passengers and 6 bags, and a dress takes real space. See luxury Mercedes-Maybach and Rolls-Royce and the wedding limo page for the ceremonial end.
Where are the guests coming from?
Weddings in Muskoka draw guests from the city and beyond. The key distances:
- Pearson to Gravenhurst: about 165 km, usually 1 h 50 off-peak
- Gravenhurst to Bracebridge: about 15 km
- Bracebridge to Huntsville: about 34 km
- Pearson to Huntsville: about 215 km, usually 2 h 30 off-peak
On a summer Friday afternoon, allow 3 h 30 or more to Gravenhurst; the Highway 400 and 11 traffic guide explains why. For a Friday ceremony, guests who leave the city after work will not arrive when they say they will.
Airport arrivals
Flight tracking is included on every airport pickup. Free waiting is 60 minutes after international landings and 30 after domestic ones. Meet and greet inside arrivals is a booker option. For a group landing on the same flight, one Sprinter and a meet-and-greet chauffeur with a name board is a tidy solution. For guests landing on different flights, stagger the cars by flight and do not try to wait for everyone. See the Toronto Pearson page, the Billy Bishop page and the flying to Muskoka guide.
Comparing options for guest travel
Not every guest needs your transport. Here is how the modes compare for a wedding weekend.
| Mode | Door-to-door time | Cost note | Luggage | Best for |
|---|---|---|---|---|
| Chauffeured Sprinter or SUV | Pearson to Gravenhurst about 1 h 50 off-peak | Fixed fare via booker | 12 bags per Sprinter, 6 per SUV | Groups arriving together, the wedding party |
| Coach on request | Planned to the schedule | Quoted via the booker or desk | Coach rules | 20 to 56 guests moving at once |
| Guests drive themselves | About 2 h from Toronto off-peak | Their fuel and parking | Whatever fits | Local guests who want a car on the weekend |
| Ontario Northland bus | Scheduled; check the timetable | Published by Ontario Northland | Per carrier rules | Individual guests with light bags |
| Northlander train (proposed) | Gravenhurst to Union Station about 2 h 15 | Launch example as of 2026: adult $52.41 to $66.97 one-way | Rules not yet published | Daytime guests; see our Northlander guide |
For the details on the train see the Northlander train guide. The honest summary: ask guests to get themselves to the area, and arrange transport for the wedding party and for the leg that matters most. That is usually the hotel to venue and venue to hotel run, and the late-night return when nobody should be driving.
What about rain?
A rain plan is a vehicle plan. Think through three points.
- Pickup and drop-off. Where does the vehicle stop, and is there a covered entrance? Resort lobbies and covered porches are best.
- Time. Wet roads are slow roads. Add buffer to every run.
- Ceremony location. If the ceremony moves indoors, the pickup may move with it. Confirm the final address with the desk the day before.
Write the weather plan into the run sheet, and send the final address in the booking note. A chauffeur who knows the plan can adapt; one who does not cannot.
Boat-access and lake venues
Muskoka weddings often involve water. The Muskoka Steamships operator says its two charter ships are the RMS Segwun, which carries 97 passengers, and the Wenonah II, which carries 216, with charters rented by the hour. The ships can pick up groups at many resorts and private cottage docks, including Windermere House and JW Marriott The Rosseau among listed alternate ports, and a positioning fee is charged per hour of travel to and from an alternate port. Cottage docks require an inspection arranged by phone. The details are on the operator's private events page, and its home port is the Muskoka Wharf in Gravenhurst. Our page on Muskoka Steamships and the Discovery Centre explains the wharf.
Our part ends at the shore or the dock. The car brings guests to the wharf or the dock, and the boat takes them from there. The key is the handoff: agree the time guests must be at the dock, the address and which gate, and put it in the note. For the resorts, see JW Marriott The Rosseau and Windermere House.
Fire numbers, gates and gravel
Private venues and cottages are marked by fire numbers on posts, not street signs. Many are reached by long gravel drives. Send the fire number, the gate code or who will open it, and where the vehicle should stop. A Sprinter is a big vehicle on a narrow road, so if the approach is tight, tell the desk and ask about the right class. A chauffeur who knows the width of the drive can choose to park at the road and run guests in smaller vehicles.
Alcohol, safety and the late-night run
There is no drinking in our vehicles (a bottle can still be added in the booker as a sealed gift). If you are planning a toast in the vehicle, ask the desk what is permitted before the day. The bar at the venue is the bar. What a wedding does need is a plan for getting guests home. Plan the late-night runs from the venue to the hotels with named times, such as a 10:30 pm run and a midnight run, so nobody feels obliged to drive. A shuttle that leaves when it is full and then returns is more flexible than a fixed bus, and it keeps the last guests from waiting alone on a dark road.
Cottage rentals and the weekend around the wedding
Many couples rent a cottage for the weekend, and many guests rent others. The transport map then becomes a list of addresses. Collect them early and use them to build the pickup schedule. Our cottage transfers page covers the arrival-day logistics, and Muskoka hub links the towns involved.
Your run sheet
A good run sheet fits on one page. For each run, list:
- The time the vehicle arrives at the pickup.
- The address, with the fire number if private.
- The contact name and a mobile number on the day.
- The number of passengers and bags.
- The destination and the time guests must arrive.
- A fallback if the guest is late.
Share the run sheet with the desk, the venue and the photographer. The photographer, in particular, will want to know when the couple's car leaves, because that is when the shots happen.
Budget conversations
We do not publish prices. The booker shows the fixed all-in fare for your exact pickup, drop-off and vehicle before you pay. For a wedding, the practical approach is to price the plan in the booker in sections: the couple's car, the family shuttle, the guest loop and the late-night run. Adding them gives you the transport total, and you can see which parts to trim before you commit. Each fare is all-in, with the 13% HST included.
Where to look next
Browse the services list, the Sprinter and group transportation page and the party bus and stretch limo page. The Discover Muskoka site carries the regional event guide, and Ontario 511 is worth checking before the day for road conditions.
Cancellation
Counted from the scheduled pickup: more than 72 hours' notice no charge; 72 hours or less 10%; 48 hours or less 50%; 24 hours or less or no-show 100%. Peak dates, such as long weekends and big weddings, may carry a different deadline, printed on the confirmation.
Frequently asked questions
How many limos do I need for a wedding?
Divide guests by capacity: an Executive Sprinter seats up to 12, a Stretch SUV Limousine up to 14, a party bus up to 14, and coaches of 20 to 56 seats are available on request. Plan loops if the venue is close, and add one spare vehicle.
Do you carry luggage on a wedding shuttle?
Sprinters carry 12 bags and SUVs 6. Stretch limousines take minimal luggage, the Stretch SUV Limousine up to 4 large bags and the party bus 2 large bags, so use them for the ceremony run, not for airport arrivals.
How far in advance should I book wedding transport?
As soon as the venue and date are fixed. Peak dates fill, and availability for the Mercedes-Maybach, stretch and party bus vehicles is confirmed at booking (a Rolls-Royce is on request through the reservations desk). Lock the final guest count six to eight weeks out.
Can you pick guests up at the airport?
Yes. Flight tracking is included on airport pickups, and meet and greet inside arrivals is a booker option. Pearson to Gravenhurst is about 165 km, usually 1 h 50 off-peak, and more on a summer Friday.
What about a ceremony on a boat?
Muskoka Steamships says it charters the RMS Segwun and the Wenonah II by the hour and can collect from many resorts and cottage docks. Our car takes guests to the wharf or dock; the boat is booked separately.
What if it rains?
Add time to every run, choose covered pickup points and send the final address to the desk the day before. Write the weather plan into the run sheet.
Can the couple travel in a Rolls-Royce or a Mercedes-Maybach?
The Mercedes-Maybach carries up to 2 passengers and 2 large bags, subject to availability confirmed at booking. A Rolls-Royce is on request through the reservations desk, availability confirmed in writing. Guests and luggage go in an SUV or a Sprinter.
Is alcohol allowed on board?
There is no drinking in our vehicles (a bottle can still be added in the booker as a sealed gift). Ask the desk what is permitted before the day, and plan late-night runs so that nobody has to drive after the reception.
